How to Organize a Business Blog Archive
A business blog archive should help a reader move from a question to the next useful answer. When categories, tags, and links are added without a plan, the archive becomes a storage room instead of a working resource.
Inventory the archive
List every article with its subject, intended reader, purpose, category, status, and related pages. Use the content-audit framework to remove duplicates and obsolete material before reorganizing what remains.
Use a small category structure
Categories should describe the major subjects the site intends to support. A useful category normally contains several related articles and leaves room for future material. Avoid categories created for a single post or vague labels such as “General.”
Name categories in the language readers understand. Internal department names and clever phrases are poor navigation when visitors cannot predict what they contain.
Use tags sparingly
Tags can identify recurring details that cross category boundaries, but they are not required. Do not create a new tag for every phrase in an article. An unused or one-post tag adds another nearly empty archive page.
Build deliberate reading paths
Link articles when the second page answers the reader’s likely next question. Use descriptive anchor text and review the link after either article changes. Important foundational pages should receive links from the narrower articles they support.
Create topic hubs when needed
When a subject grows beyond a handful of posts, create a hub page that introduces the subject and organizes its major questions. A hub should be maintained as the collection changes; it is not an automatic list of everything carrying a tag.
Maintain the archive
Review categories, empty tags, broken links, and duplicate topics during each scheduled audit. The structure is finished only when a new reader can understand what the site covers and find the next useful page without guessing.
